SessionFlow

Your event has a programme. Every guest has their own day.

Rooms, speakers and seats in one programme. Each guest opens it in their Companion, builds their own day without an account, and always knows what is next and where.

  • Rooms and stages
  • Seats only where you set them
  • No app, no account

The programme

Rooms, sessions and the people on stage — in one place.

Name your stages once. Place every talk, panel and workshop in a room, add its speakers, decide whether it has seats, and see the whole day as a timeline or as a board, room by room.

Timeline or by room
One programme, two ways to read it: in order, or as columns per stage.
Speakers as records
Write a speaker once and add them to every session they are in.
Published when you say so
Sessions marked internal stay with your team; cancelled ones disappear from guests’ days.
One programme everywhere
The same running order reaches invitations, the guest’s day and your Event Control Room.

My day

Tap a session. It is in your day.

Try it on the phone: open the full programme, add two sessions, and see your own day — with a warning if two of them overlap.

Seats, honestly

87 / 100 means 87 people hold a seat.

A session without a capacity is interest: anyone can add it and you see how many did. Give it a capacity and adding it reserves a seat — counted at the moment of adding, so two phones never take the last one, and a full session says full.

Interest without a limit
Keynotes and open talks: guests add them freely, you learn what draws people.
Seats where they are scarce
Workshops and tastings: a reservation that stops at the number you set.
No pretend waitlist
When it is full, it is full. A seat frees up when somebody takes the session out of their day.
What really happened
Your team can enter the headcount in the room, so the report shows who came, not only who planned to.

In Companion

What is next, on the guest’s home screen.

Once a guest has a day, Companion opens with their next session, its time and its room. The programme is part of the event page they already have — no separate app, nothing to install.

During the event

Your Event Control Room knows what is on now.

Sessions running and starting within the hour, each with its room, its reservations and your team’s count — beside the door, the room’s questions and the screen.

Where it fits

For programmes with more than one room.

  • Conferences

    Parallel tracks, keynotes and breakouts.

  • Festivals

    Stages, talks and limited-capacity sessions.

  • Corporate offsites

    Plenaries, workshops and team sessions.

  • Academic events

Panels, paper sessions and poster hours.

Questions

Do guests need an app or an account?

No. The programme is in the event page they open from their invitation or from the QR code in the room. Their day is kept for that link or that phone.

What happens when a session is full?

Adding it is refused with “full”. A seat frees when someone removes the session from their day. There is no waitlist.

Can I see who attended a session?

You see how many added it, how many hold a seat, and the headcount your team entered for the room. There is no turnstile per room.

Can a session be for my team only?

Yes. Internal sessions stay in your programme and never reach a guest.

What if the programme changes during the event?

Guests’ phones pick up the change within seconds. A cancelled session disappears from everyone’s day.

Give every guest their own day.

Build the programme once; every guest carries the part that is theirs.
